MEMORANDUM

Re:       Special Events Coverage Instructions

 

 

When outside groups request <to use a parish or school facility for a non-parish / school sponsored event, we need to protect the church or school and the Diocese of Richmond from liabilities that may result from such events. This is critical since the Diocese of Richmond is self-insured and pays insurance claims directly with diocesan funds.

 

Outside groups using diocesan facilities must be insured for General Liability with limits on their policy of no less than $1,000,000. Upon requesting the use of any diocesan-owned property for a special event, such insured groups or entities must present the church / school with a Certificate of Insurance from their General Liability insurance carrier showing proof that the necessary coverage is in place. Also, it must be stated on the Certificate of Insurance that the church or school in question and the Diocese of Richmond are named as Additional Insured on the policy during the subject event.

 

Prior to the scheduled event, a copy of the above-mentioned Certificate of Insurance should be sent to the Diocesan Office of Risk Management [[St. Francis will do this]] for its review and approval of the certificate.

In some instances an outside group or entity wishing to use a church / school facility does not carry its own General Liability insurance coverage. In such cases, the group must apply for Special Events Coverage through the Diocese of Richmond and Catholic Mutual Group. The Special Events Coverage provides S 1,000,000 Combined Single Limit Bodily Injury, Property Damage, and Host Liquor Liability coverage at a cost of $100 per event.

 

Special Events Coverage must be applied for by completing an Application for Special Events Coverage. Completed applications and a check made payable to “Diocese of Richmond” are to be submitted to Kurt Hickman at the Diocese of Richmond [see below]. In turn, the applications are referred to the insurance company that provides the coverage for its review and approval of the applied for coverage.

 

Completed applications should be brought to St. Francis Catholic Church. We will then send them to the Diocese of Richmond. This will give the Diocese and the insurance company that provides the coverage ample time to properly process the application.
