Procedure for Renting Assisi Hall

<  Due to the limited amount of parking surrounding the Church, Assisi Hall will not be available for rent while a regularly scheduled weekend liturgy is taking place.

 

<  When reserving Assisi Hall you may request only one date for an event. Please do not request the Hall until you have finalized the date of your event.

 

<  Rent may be paid in cash or with a valid check.

 

<  Rental of Assis Hall is on a first come basis. You may call for a reservation of Assisi Hall before you sign the contract, however the renter may forfeit the right to use the hall and/or the return of the Cleaning/Damage/Loss of use Deposit under the following conditions.

1.  Renter fails to return the contract with the  Damage/Cleaning/Loss of Use Deposit and proof of Insurance. (If you have reserved the hall and not met this requirement, someone calling to reserve the hall at your scheduled time has the option of obtaining and returning a valid contract thus voiding your use. We will advise the person requesting your date that first we will contact the person with the prior request. If you fail to confirm your reservation as defined above then you will forfeit use. For this reason scheduling an event and returning the contract ought to be done as early and as closely together as possible.)

2.   Renter fails to pay the rent in full at least 14 days prior to the event. Both use of hall and Damage/Cleaning/Loss of Use Deposit are forfeited.

3.  St Francis receives a  returned check for "non-sufficient funds" for the deposit will result in the cancellation of the booking.

     If St. Francis receives a  returned check for "non-sufficient funds" for the rent the result is the automatic cancellation of the booking and the forfeit of the  Damage/Cleaning/Loss of Use Deposit .

 

<  Notice of cancellation must be made in writing twenty (20) days before the scheduled event.  Failure to do so will result in the forfeiture of the Damage/Cleaning/Loss of Use Deposit.

 

<  Key shall be picked up and returned to the church office by the person(s) designated in the application as applicant or alternate contact person. Key should be returned the morning following the event during office hours or the first day after the event that the office is open. If a key is lost, the applicant shall be responsible for any consequential costs including re-keying the Church buildings.

 

<  Kitchen and Hall use policies must be followed (Following the event the deposit will be returned (less any applicable costs; i.e. extra clean up, garbage not removed from hall, damage to property) as soon as possible by the Parish Office.

 

<  The parish is not responsible if, due to circumstances beyond its control, the hall is not available for use on the day arranged; (i.e. fire, power outage, etc.) A full refund will normally be given in such circumstances.

                                                                                                                                               

<  The Pastor of St. Francis of Assisi Catholic Church must approve any use of Assisi Hall.

 

 

 

Guidelines for Parish Hall Use

 

1.         The Parish Hall is located on the church property at 118 North New Street, Staunton, VA.  All arrangements regarding it are to be made with the Church Facilities Manager at the church office.

 

2.         Assisi Hall is rented on an "as is" basis.  The parish assumes no responsibility for any equipment brought onto the premises by the renter or guests.  The parish is not liable for any injuries to persons and/or property;.  The renter assumes responsibility for the behavior of all guests (whether invited or not invited) during the rental of the premises.  The renter must adhere to all City and Fire Safety Regulations. (Please see attached copy.)

3.         Any regular parish group wishing to use Assisi Hall on an occasional or ongoing basis should book as early as possible.  Regular parish groups normally do not pay rent, but must book the hall on the office calendar. If hall is requested to be rented, a regular user of Assisi Hall may be asked to  relocate temporarily to another room.

 

4.         Groups and individuals from outside the parish (and groups of parishioners not organized by the parish and not under the direction of the Pastor see Appendix B for definitions of these groups) may use Assisi Hall subject to availability.  No political or commercial use is permitted.

 

5.         If alcohol is served, the renter must obtain any required permit if required by the alcohol and Beverage Control Board and comply with all of the issuing conditions and regulations.  An ABC permit MUST be secured if the renter charges for alcohol. For other conditions requiring a permit and to obtain a permit, contact the ABC Board, located at Commerce Square in Staunton, VA.; telephone # 540-332-7800. Diocesan policies regarding use of alcohol  MUST be followed.  (Please see attached Appendix D.)

 

6.         Renters are asked to provide a certificate of insurance according to the conditions listed on INSURANCE REQUIREMENTS WHEN RENTING ASSISI HALL.  (Please see attached copy Appendix C.)

 

7.         No decorations or application of materials, which will mar, deface, or damage the surfaces of the walls, ceilings, or floor are permitted.

 

8.         All buildings on the church property are non-smoking facilities.

 

9.         When using the facilities, all groups will be responsible for leaving the premises in good order according to Kitchen/ Parish Hall Procedures. (Posted in kitchen. Please see attached copy.)

 

10.       The maximum capacity of Assisi Hall is as follows:

"     With tables and chairs           144

"     With chairs only                    218

We have layout plans of Assisi Hall (available upon request) which show various seating arrangements for 96, 106, and 108 persons using the tables which St. Francis makes available.
